MyWRU

The Welsh Rugby Unions (WRU) new digital platforms supporting the community game across Wales. 

The transition from the previous systems, MyWRU (club management) and Gamelocker (registration, course booking, and resources), to a new suite of tools represents a significant change for everyone involved in the community game. 

Under the new setup: 

MyWRU now serves as the central hub for both club management and player/volunteer registration, bringing key administrative functions together in one place. 

The Community Game section on wru.wales is the new destination for community resources, guidance, and news, ensuring everyone involved in the community game has easy access to the latest information and support materials.

Eventbrite is currently being used for all course bookings, offering a simple and familiar process for signing up to WRU coaching, refereeing, and other training courses. 

This change has been necessary, and our priority has been to ensure continuity of essential services for clubs, volunteers, and participants. 

The WRU remains committed to simplifying digital processes and centralising services wherever possible to create a more seamless experience for the community game. Further updates will be provided as this work continues. 

If you are a club secretary please watch the video tutorial that explains the process of how to activate all your clubs teams. This process has to be completed first before any player can register with your club.

Accessing MyWRU
How to log in to MyWRU and reset your password
Need help logging in? Follow these steps to access your MyWRU account:
2. Click “Log in or create account”
3. Select “Forgot password”
4. Enter your email and click Continue
5. Check your inbox and junk/spam folders for the reset email
6. Follow the link to set a new password
7. Return to the site and log in using your email and new password
⚠️ Already had an account with WRU? Don’t click Sign Up – this may create a duplicate. See below for further instructions.
I didn’t get the password reset email – what should I do?
If the reset email didn’t arrive:
1. Wait a few minutes and check your junk/spam folder
2. If it’s still missing, email us with the following info:
   – Full Name
   – Date of Birth
   – Email address
   – WRUID (if known)
We’ll help identify your account and guide you through resetting your login.
If you are a parent who does not have a personal WRU account, please go to “How to create a MyWRU account as a parent”
Do I need to create a new account or do I already have one?
If you’ve ever had a role with WRU (as a player, coach, volunteer, etc), you likely already have an account.
✅ Try resetting your password first: https://my.wru.wales
Only create a new account if:
– You’re a parent who only ever registered a child (not yourself)
– You’ve never registered with WRU before
If you’re unsure, email us at digitalanddata@wru.wales and we’ll check for you.
How to create a MyWRU account as a parent
If you’re a parent and didn’t previously hold a WRU role, here’s how to create your account:
2. Click “Login or create account”
3. Click “Sign up”
4. Enter your email and create a password
5. Click Continue, then log in
6. Update your personal profile by clicking next to your WRUID
Once your account is set up, please go ahead and register your child ensuring the details are accurate. We will then match the registration to your child’s account.
⚠️ If there are duplicate accounts (for you or your child), we’ll merge them in the background.
My child is missing from MyWRU – how can I fix it?
If your child’s profile doesn’t appear in your MyWRU account, don’t worry – please go ahead and register your child ensuring the details are accurate. We will then match the registration to your child’s account.
Club Secretary Help
Who gets access to the new MyWRU system?
At the moment, only Club Secretaries get full access to the new MyWRU system. All other roles can login to MyWRU and update their details only.
If someone else needs Club Secretary access to manage players or transfers, the current secretary must confirm this by email.
If you are no longer acting as Club Secretary, please contact us as soon as possible so we can remove you from the role. Additionally, the new Club Secretary must also get in touch with us directly so we can assign the role to their account and ensure they have the appropriate access.
If you are a current Club Secretary, and haven’t yet accessed the new MyWRU platform, please follow these steps.
2. Click ‘log in or create an account’
3. Click on ‘forgot password’
4. Enter in your email address to reset your password
5. You should then receive a reset password link via email.
6. Proceed to log in with your new password

Activating your Teams
Once you’ve logged in, follow these steps to activate your teams and allow club players to register:
1.  Go to “Manage Organisations.”
2. Select the organisation you want to manage.
3. Click on “Teams.”
4. Use the toggle switch to activate the teams that will be participating in the 2025/26 season.
5. Once activated, players will be able to register for the correct teams.
How to get Club Secretary access if you manage registrations or transfers
If you’re responsible for managing registrations or transfers, and are not currently listed as a Club Secretary:
1. Ask your current Club Secretary to email us confirming your role.
2. We’ll update the access and notify you once you’ve been granted permissions.
Please note that Team managers will be able to manage registrations and transfers when they are able to register.
Registration
What to do before registering for the 2025/26 season
✅ Before registering, make sure:
– You are registering with the same club as last season
– You haven’t played rugby outside Wales recently (if you have, request international clearance)
– You use your existing MyWRU account
⚠️ Registering with a new club? You’ll need a transfer first.
Registering yourself for the 2025/26 rugby season
2. Click “Register to Play”
3. Select “No, myself”
4. Confirm your details
5. Choose the club you played for last season
6. Submit the registration
✅ Make sure:
– The details are accurate (DOB, name, etc.)
– You register them with the same club as last season
– If registering with a new club, complete a transfer first
Registering your child for the 2025/26 rugby season
Once you have logged in, follow these steps to register them:
2. Select your child’s profile
3. Click “Register to Play”
4. Click “Yes, someone under 18”
5. Confirm their details
6. Choose the club they played for last season
7. Submit the registration
✅ Make sure:
– The details are accurate (DOB, name, etc.)
– You register them with the same club as last season
– If registering with a new club, complete a transfer first
Registering as a new adult player (18+)
New to WRU? Here’s how to register as a new adult player:
2. Click “Login or create account” → Sign up
3. Create your account using your email and password
4. Log in and update your personal profile
5. Click “Register to Play”
6. Choose your club
7. Confirm your details and submit
📝 Once submitted, your registration will go through:
– WRU approval
– Club Secretary approval
You’ll get notified when your registration is confirmed.
What happens if I accidentally create a second MyWRU for me or my child?
Don’t worry – it happens.
If you’ve created a new account by mistake instead of logging into your existing one:
– Submit your registration normally
– We’ll manually merge duplicate accounts in the background
Please allow extra time for processing during peak registration periods.
I see “Not eligible” when selecting a Club – what does that mean?
If you’re seeing a “Not eligible to register” message, it usually means your club hasn’t yet activated its teams for the season.
✅ What to do:
– Contact your club secretary and ask them to activate your team
– If they need help, they can contact us at: digitalanddata@wru.wales
Once the team is activated, you’ll be able to register successfully.
I’ve played rugby outside of Wales – what now?
If you’ve played rugby outside of Wales since your last registration or in the past season, you’ll need to complete an International Clearance Form before registering.
📧 Email registrations@wru.wales and request the clearance form.
Once clearance is approved, you can proceed with registration as normal through MyWRU.
🛑 If you try to register without clearance, your registration will be declined.
If you have already registered and are seeing “Awaiting approval by WRU”

Please do not contact us if your application status is “Awaiting approval by WRU.”

We are currently experiencing a high volume of enquiries and registrations and are working through them as quickly as possible.

Rest assured, you or your child will be registered well in advance of the season beginning.

Transfers
When do online transfers open?
Online transfers open in July.
From that point, your new club secretary can initiate the transfer. You’ll need to provide them with your WRUID and surname.
Once approved, you’ll be able to register with your new club.
How to transfer to a new club in MyWRU
Transfers for the new season open in July.
Your new club secretary will need the following details to start the transfer process:
– Your WRUID
– Your surname
Once they initiate the transfer, it will be reviewed and approved by you, your previous club and the WRU. You will be automatically registered provided your transfer is approved.
Finding your WRUID
You and/ or you child(ren)’s WRUID will be within the “manage details” section of MyWRU.
Volunteer Registrations
Volunteer Registrations
Registrations for volunteer roles – including coaches, team managers, and referees – will open in August in order to be ready for the season. We’ll share more details closer to the time, but please note that these roles will not be available to register for during the initial June rollout.
All other volunteer roles will become available as soon as possible throughout the start of the season, as we continue to roll out functionality in our new registration system.
The volunteer roles that you can register for will be:
  • Club chair
  • Club treasurer
  • Club operations manager
